Overview

  • Pay Rate: $17.85 - $27.22+/hourly based on experience.
  • Start Time: 8am (can flex earlier) 
  • Fulltime/Benefitable

Provides administrative support to a Senior Vice President and 3 Vice Presidents, including preparation of reports, presentations and correspondence; makes travel arrangements; manages SVP& VP’s calendar and schedules meetings. Closely monitors multiple budgets for compliance and forecasting; processes invoices and maintains detailed and accurate expense records.

Primary Responsibilities:

  1. Manages the work calendar and travel schedule for the SVP and VPs.  Evaluates meeting/event requests (requestor and purpose) and determines whether or not the SVP/VPs would want time scheduled.  Assigns an appropriate time/place on the calendar.  Preparation of complex reports / presentations when warranted while maintaining confidentiality.
  2. Manages departmental administrative budget.  Prepares SVP/VP’s invoices and travel expenses for approval. Codes invoices and reviews expense reimbursements.  Prepares business updates.  May coordinate the expense justification process for the organization.
  3. Creating and building communication content for various areas in the network. Analysis using various software packages, databases. Preparing and coordinating information for external and internal contacts.
  4. Demonstrated ability to manage multiple tasks in a fast-paced environment under minimal supervision with a high attention to detail.
  5. Strong analytical oral / written communication , problem solving, basic research and time management skills.
  6. Orders and maintains supplies and equipment for multiple departments.
  7. Some travel

Education and Experience:

  • 2-4 years experience
  • Experience building content for field communication a plus
  • Supply Chain background a plus
  • Proficient in MS Office (Power BI, Word, Excel, Outlook, PowerPoint. Proficient use of Publisher a plus)
  • Basic finance and accounting skills.
  • Excellent communication and writing skills.
  • Excellent time management skills with the ability to juggle multiple responsibilities and set priorities.
  • Ability to work independently.
